Program Assistant, Physician Services

The Program Assistant is responsible for providing administrative support to the Administrative/Management Team. The Program Assistant must have excellent communication skills, clerical skills and computer skills.

Qualifications

  • Minimum two years’ experience in administration/secretary support
  • Certificate or diploma in Secretarial Arts and/or Administration would be an asset
  • Strong computer skills; proficiency in Microsoft Office is required including excellent Excel knowledge
  • Superior time management and organizational skills; very detail orientated
  • Demonstrated ability to work independently with the flexibility to work as part of a team, be adaptable, multi-task, meet deadlines and take initiative
  • Experience working with First Nations communities and ability to communicate in one of the First Nations dialects of the Sioux Lookout Zone is an asset
  • Valid Class G Ontario driver’s license is required
  • Ability to perform the physical demands of the job and work assigned shifts (Monday-Friday, 8:30-4:30)

Responsibilities

  • Plan and coordinate activities/meetings for Administration/Management/Board
  • Design and prepare documents including: letters, memorandums, work plans, reports, PowerPoint presentations, confidential correspondence, etc.
  • Prepare meeting arrangements; agendas, supporting documents and minutes of meetings
  • Data entry and creating spreadsheets with and without formulas
  • Maintain and update office filing systems, both paper and electronic
  • Preparation of travel arrangements, purchase orders, and other forms
  • Performing errands/duties at various sites as required
  • Adherence to confidentiality requirements/policies
  • Other duties as assigned
